PA to the Head of EMEA InstitutionalFTC until March 2015Up to £42,000A leading Asset Management organisation are recruiting for an experienced Personal Assistant to join their team based in Henley On Thames. The role will be to enable the Head of EMEA Institutional to work as effectively as possible by providing efficient and effective secretarial and analytical support.Responsibilities·Manage the Head of EMEA Institutional's diary and assist the FP&A Manager with diary management, ensuring effective use of time. Briefing the Head of EMEA Institutional and the FP&A Manager on forthcoming appointments and ensuring all necessary arrangements are in place, travel organised and paperwork provided.·Deal with all aspects relating to the arranging of meetings and events, including room bookings, invites, refreshments and facilities, circulation of agendas, taking of minutes and ensuring actions are followed up.·To deal with correspondence and emails on behalf of the Head of EMEA Institutional, filtering items as appropriate, responding to requests/enquiries and drafting follow up correspondence to companies/individuals as appropriate.·Carry out project work including analysing data and producing presentations.·Produce documents, including letters, minutes of meetings, presentations and spreadsheets to support the Head of EMEA Institutional as appropriate.·Collate, prepare and circulate statistical and other information as required. ·Deal with expenses, purchase orders and personal administration as required for the Head of EMEA Institutional.·Deal with all incoming phone calls and provide a first line response to queries, including filtering those that do not need to be dealt with by the Head of EMEA Institutional.·Ensure all activities are in line with TCF outcomesQualificationsExperience and Knowledge·Significant previous experience of providing PA support to a Senior Manager is essential.·Experience of working within financial services would be beneficial.·Shorthand experience desirable.·Proficient in the use of PC software including Excel, Word, PowerPoint and Outlook.·Relevant secretarial qualification would be preferred·Good standard of English and Maths.·Self motivated, highly organised with good attention to detail.·Good interpersonal skills and ability to deal confidently with people at all levels.·Pragmatic, works well as part of a team. ·Ability to handle sensitive information, display tact and diplomacy and maintain confidentiality.·Flexible and able to respond effectively to variations in workload.·Ability to remain calm under pressure.This is a great opportunity to work for a reputable company with excellent on-site facilities and parking on-site and outstanding benefits.The successful candidate will be an experienced PA familiar with working in a 1:1 relationship who has good IT skills (MS Word, Excel and Powerpoint).
