Estate Agency Team Coordinator

M2 Property is looking to recruit a Team Administrator to work within our lettings and sales department in South Kensington. Your primary responsibility will be to support our property negotiators to ensure the smooth running of the administration involved in letting property.

You will have direct contact with our clients and tenants, so excellent communication skills are essential. M2 is a young fast growing company that is looking for highly talented people who want to work in an environment where your potential is rewarded to the full. 

The Role

1. Office Coordination

1.1 Answering calls/taking messages for negotiators

1.2 Ordering stationary/office supplies

1.3 Managing software/hardware technology issues

1.4 Key management

1.5 General administrative duties

2.Tenancy Management

2.1 Drafting tenancy agreements

2.2 Setting up client, property and tenant records and files

2.3 Ensuring tenancy files are completed in advance of tenancy start dates

2.4 Registering deposits with the deposit protection scheme and ensuring compliance with the regulations

2.5 Coordination of new tenancies with property management for managed properties

2.6 Arranging inventory check-in/outs

2.7 Compiling tenant and landlord start of tenancy packs

2.8 Negotiating renewal terms with tenant and landlord

2.9Arranging for end of tenancy procedures, including deposit releases

3. Accounts

3.1 Inputting invoices into software package and filing

3.2 Chasing debtors monthly

3.3 Dealing with creditor enquiries

4. Marketing Administration

4.1 Arranging and coordinating all new property marketing requirements

4.2 Liaising with all corporate contacts, developers, relocation agents

4.3 Proactively check available properties on the market

4.4 Managing all price changes, refreshing details to obtain maximum exposure

4.5 Electronic and print advertising, including managing relationship with portals

4.6 Production and ownership of all marketing materials, including liaising with designers and printers

4.7 Management of content for M2 website, SEO, social media and blogging

4.8 Handling marketing campaigns - direct mail and indirect mail

4.9 Competitor research

4.10 Other marketing initiatives

The Individual

• Prior experience in a sales and/or lettings administration position

• Highly organised administrator with proven experience in a front office role

• Good IT Skills; including MS Word, Excel and Outlook.

• Excellent standard of communication, both verbal & written

• Customer service focused with a friendly and professional manner

• Works well in a team environment and enjoys working in a lively, fast paced environment

• Initiative and attention to detail.
