Bilingual Executive Assistant - Fluent Japanese

Reporting to the Head of Global Delivery, the successful candidate will provide high level confidential administrative support across the United Kingdom and Japan as required. Duties may be clerical, administrative and project based and include scheduling travel, arranging meetings, handling information requests, preparing reports and correspondence and liaising with board members.
More specific tasks include:Receiving telephone calls and correspondence (including emails) and responding, directing or flagging them as appropriate.Translation of emails, documents and reports between English and Japanese as requiredWriting emails, documents and reports in English or Japanese as requiredManage calendars, sort and filter requests for meetings whilst ensuring that strategic priorities are met in a timely mannerCoordinating extensive travel programs, including international itinerariesCoordinating around time zones - Mainly JapanPlanning conference calls and meetings including the logistical arrangements for multiple domestic and international conference calls and meetingsIdentifying the need for and assisting in the preparation of agenda materials for meetings which the Head of Global Delivery attendsCreating and modifying documents and presentations for internal and external use by the Head of Global Delivery.Creating and maintaining files and records for historical and informational referenceDrafting letters in Japanese and English as required to routing enquiries concerning the Head of Global Delivery concerning participation of external events Ad hoc tasks as requiredDesired Skills and Experience:Fluent in English and Japanese - Essential (Verbal and Written)Excellent Project management and organisational skills Ability to maintain a high level of confidentialityAbility to Translate Documents (Verbal and Written)Ability to communicate with several Fujitsu officesExcellent attention to detail A firm sense of responsibility confidentiality and discretionExtensive experience of working as an Executive Assistant at Senior Level - CEO / Managing Director / Head levelPrioritisation skills and an ability to simplify complex issues using sound judgementProven problem solving ability and attention to detailGood IT and MS Office SkillsAbility to multi task and highly adaptable to frequently changing situationsFlexible to the occasional need to work to long hours and travel to other locations including overnight stays if required.Strong relationship management skills with ability to engage well with senior management and confident in dealing with all levels of people within Fujitsu and client or supplier / partner organisations.
