Executive Assistant

Executive to Chief Executive Providing high quality support to the Chief Executive and Chair, and to the Board of Trustees. (Charity)Supporting the effective working of the Board of Trustees and Executive Team, ensuring that strong governance processes are in place and actions and decisions are implemented.Managing corporate administrative processes, ensuring compliance with legislation and best practice. Acting on own initiative in support of corporate management goals. PRINCIPAL RESPONSIBILITIES Diary management: Develop and maintain a good understanding of the Chief Executive's priorities to enable a proactive focus on managing her internal and external communications role, whilst also maximising her capacity to deliver on other objectives. Manage the diaries of the Chief Executive and Chair, organising meetings and proactively managing travel and accommodation needs and providing the support materials to maximise their effectiveness. Actively monitor all incoming communications to the Chief Executive and Chair. Develop and maintain effective electronic and paper-based filing systems. Internal & external communications: Develop a good understanding of the Chief Executive's external relationship priorities and manage a proactive meeting programme. Develop good relationships with key external contacts across all sectors. Support the Chief Executive by drafting, or sourcing content for, written communications (newsletters, staff congratulations, etc). Executive Team: Work with the Head of Planning and Performance to support the development and monitoring of annual business and departmental operating plans. negotiating deadlines to minimise slippage, calling for and distributing papers, minuting meetings and monitoring implementation of agreed actions. Board of Trustees: Support the process of trustee recruitment and induction. Budget management: Monitor all incoming invoices and total non-pay spend against budget and reconciling the monthly financial reports.
