Property Management/Accounts Administrator, Ilford, £17k-£25k

A new opening has arisen to support the Property Management and Accounts Team of a very successful commercial estate agency.

This is a varied role for an adaptable, highly numerate and organised person. The successful applicant will be very well organised, and be able to work to tight deadlines. MS office skills are essential, in particular Excel and Microsoft access. Previous experience of property management software an advantage but not essential as training will be provided.

The role will include:

Property Management:

·Progress existing job orders as instructed, keeping the relevant Director / PM updated. This will involve liaising with occupiers and contractors directly. Maintain accurate records of contact. Residential property enquires will form the majority of this area, but not exclusively. Basic repairs reporting knowledge an advantage but not essential.

·Answer phone calls and deal with tenant enquiries. Forward to relevant Director / PM.

·As instructed, gather all necessary information and data for leaseholder enquiries.

·As instructed, keep all existing records up to date including Property Management Contact Lists, Compliance Spreadsheets, Contractor information sheets etc.

·Input new details onto the Riverlake system for lessees and new business. Some basic knowledge of service charges advantageous.

·Keep main PM files in good order and implement an archiving procedure in due course.

·Service of section 20 Notices and relevant invoices

Accounts Department:

·Input invoices and cheques

·Allocate and input incoming monies

·Monthly bank reconciliations

·Credit control: chase debtors and consult Property Managers and Accounts personnel on appropriate action

·Assist Accounts department during periods of high volume, e.g. when running demands, end of year etc.

·Reconciliation of Annual Service charges, Income and Expenditure

·Preparation of Service Charge Budgets both for New Developments and annual Review of existing.

·Recharging of Insurance and any other additional expenditure such as Section 20 costs.
