Contract Administrator

Serco has operated HMP Kilmarnock since 1999 under a 25 year contract on behalf of the Scottish Prison Service (SPS). It is one of the most modern prisons in Scotland, specifically designed for efficiency, with 500 single cells and a maximum capacity of 692 prisoners. HMP Kilmarnock is a closed high security establishment accommodating remand, short term and long term male adult prisoners and male young offender remands. Operated by Serco, HMP Kilmarnock is part of the Scottish Prison Service estate and prisoners remain under the same care agenda as that of the Scottish Prison Service. We are currently recruiting for a contract administrator to assist the assistant director - Staff Performance and Development in the operation of the Administration function. To keep all relevant local records updated and provide administration and assistance to staff in relation to MyHR. To contribute and assist the Administration function in achieving its goals and objectives within HMP Kilmarnock`s strategic vision. This post is for 38 hours per week- Monday to Friday. Main Duties; - To open and organise Admin incoming mail and ensure outgoing mail is dealt with daily. - To provide support to staff and managers with MyHR processes. - To assist in the maintenance of local staff sickness records and work with line managers to ensure MyHR processes are adhered to. - To ensure accurate and timely payroll administration is completed for all employees maintaining links and effective relations with the payroll and benefits departments. - To identify and notify the AD - Staff Performance and Development of any required deductions from pay. - To collate and prepare monthly staff statistics for month end reporting. - To facilitate local recruitment interviews and liaise as appropriate regarding paperwork with MyHR. - To provide clerical support at PCO Recruitment Days. - To organise and supervise Fitness Assessments for PCO applicants. - To meet with new starters and complete any necessary local admin procedures. - To ensure new staff are entered onto the CMS System. - To ensure that all staff eligible for Long Service Awards are identified and certification prepared for presentation ceremonies. - To process the Local Staff Recognition Policy - To organise and take Minutes of Staff Engagement Team Meetings. - To assist with administration in respect of IiP Assessments. - To prepare agendas, take, and distribute minutes of Monthly Admin Team Meetings. - To arrange and attend disciplinary / grievance/sickness absence hearings as required and ensure that comprehensive minutes are taken. - To provide cover for the telephonist and mail administrator as required. - To ensure all mandatory training is undertaken by due dates. - To ensure that all tasks within area of responsibility are conducted in a safe manner and the health & safety of self and others is preserved at all times. - To assist with various office duties as directed by the AD - Staff Performance and Development Qualifications and training: - Essential: Certificate in Personnel Practice. - Desirable: Educated to HNC level or equivalent. Previous experience: - Demonstrated experience of working within a demanding admin environment, preferably with payroll experience. - Excellent Microsoft Office skills, particularly PowerPoint, Word and Excel. - Excellent Word Processing and Computing skills. - Well organised with the ability to work under pressure. - Flexibility. - Strong interpersonal and communication skills.
